Jacksonville Community Center (JCC) – PT Volunteer & Facility Coordinator
The JCC Volunteer & Facility Coordinator position has daily interaction with the public and is focused on successful growth of JCC’s volunteer base and smooth IT-driven facility use of the Center, along with providing some communications support. Belief in the importance of volunteerism, a warm engaging interpersonal style, comfort in managing details, and clear communications are key to success in this position.
This position is offered at 10-20 hours/week (paid hourly) on a flexible schedule with an average of 75 hours/month. It is non-exempt. It requires occasional/rare facility checks on one to two evenings or weekends per month. There is an option for some remote work but on-site presence is also required each week. The schedule is based on program needs and flex time is offered. Weekly schedule flexibility within normal business hours is available. Skill development opportunities in communications, marketing and fundraising will be offered for those with interest. Rate of Pay: $21-23/hour DOE. This is a time-limited, grant-funded position through August 31, 2025. Additional funding will be sought and may offer the existing staff an extension to the position.
The position requires:
● Experience managing schedules and calendars using computer programs
● Experience managing or working with volunteers
● Comfort in using databases while prioritizing relationship building
● Good people skills
VOLUNTEER COORDINATION DUTIES:
- Recruit, engage and sustain a pool of volunteers that will provide program instruction, program & administrative support and facility support to JCC
- Assist Volunteers with on-line application process and background check clearance
- Implement a system of volunteer recognition and celebration
- Represent JCC’s values and mission in regional meetings that will increase volunteer base
- Organize at least one annual volunteer celebration event
- Track volunteer hours for grant reports
- Begin partnerships with volunteer placement organizations to sustain volunteer inflow
COORDINATION AND SCHEDULING OF FACILITY RENTALS:
- Communicate with rental inquirers on-line and via phone calls
- Coordinate scheduling for facility use or rentals with civic groups, individuals and businesses
- Process paperwork and record payments to secure facility rentals
- Train renters in facility procedures and conduct tours with prospective renters
- Ensure completion of on-line and in-person paperwork and contracts related to rentals using computer programs
- Monitor on-line payment processing through on-line portals and programs
- Prepare facility for incoming renters and conduct post-rental checks and clean-up
ADMINISTRATIVE SUPPORT:
- Assist in updating or contributing to community information boards, program social media, phone responses, e-news, and email distribution
- Procure goods, services, and resources for Community Center facility use
- Occasionally handle customer service-related issues
- Organize and complete reports on event attendance, facility rental and instructor engagement
- Support and participate in agency events and projects
COMMUNICATIONS SUPPORT:
Under the direction and support of the Executive Director
- Occasionally, help create written and visual content for communications channels including flyers, ads, brochures, and social media. (Facebook, Twitter, Instagram, LinkedIn, Google+, and YouTube)
- Capture photos and video of volunteers in action
CENTER HEALTH & SAFETY
- Maintain organization of facility supplies
- Ensure garden area, patio spaces, areas surrounding the entrances and exits of Center are clean and accessible
- Use work order requests to complete facility/grounds maintenance
- Ensures that safety standards and precautions are followed in recreation and facility management activities
- Responsible for coordination of facility use following regulations
- Move and handle items exceeding 30 pounds on a regular basis
- Other duties as assigned
Required Skills, Knowledge, and Abilities
Knowledge of business English, spelling and grammar, and knowledge of various computer software
Ability to read and interpret documents such as safety rules and operating instructions Ability to write routine reports and correspondence
Ability to learn and operate online programs for registration, payment processing, and data entry Ability to solve practical problems
Ability to recognize potentially unsafe conditions and correct them quickly Ability to keep records and write reports
Effective, professional working relationships with youth, staff, volunteers, community partners, donors and the general public
OTHER: Preferred start date either in December 2024 or January 2025
